Leads from Meta and WhatsApp routed to managers,
sales watched independently
For an apartment developer in Bali we built lead intake from Meta, WhatsApp and the site into Google Sheets and amoCRM, round-robin routing between managers, a sales monitor with five-minute alerts, daily priority digests, read-only WhatsApp analytics and an AI classification of 382 dialogues that showed Facebook conversations cost 2.7 times less than Instagram ones.
The task
Leads arrived from Meta ads, WhatsApp, Instagram Direct and the site. Managers picked them up unevenly, the owner could not see sales without logging into the CRM, and nobody knew what a buyer actually cost per country.
What we built
Intake. A Cloudflare Worker receives webhooks from Meta, WhatsApp and the site form and writes every lead into a Google Sheet and amoCRM with source and campaign.
Routing bot. Round-robin between managers, assignment in amoCRM, a lead card in a Telegram topic per manager, and a post into the leadership channel. Managers answer faster because the lead is already in their chat.
Sales monitor. A bot reads the amoCRM event log every five minutes and alerts when a deal’s money fields change, so the owner knows about a sale independently of the manager’s reporting. It also revealed that only about 15 of 436 deals had the amount field filled, which became a management fix.
WhatsApp analytics. Read-only export of conversations through an API, matched to 143 of 189 CRM contacts with phone numbers, and an AI classification of 382 dialogues into buyers, warm prospects, surface interest, off-target and no reply: 19 buyers and 135 prospects from one summer campaign, a live lead at $24.26 and a warm prospect at $37.81.
Ad spend by placement. Facebook conversations cost $17, Instagram $46, 2.7 times more; the budget was moved. A quiz funnel was measured end to end: 56 entries, 34 to WhatsApp, 12 live, 2 buyers.
Extras. A three-language link-in-bio page with TLS, a daily digest with priorities for the sales team, and a conversion audit of the main site.
The result
A sales process the owner can see without opening the CRM, lead cost by channel and country, and a budget that follows the cheaper conversations.
