Booking that fills the calendar itself:
and reminds people before they forget

Booking by message means checking a calendar, proposing times, waiting for a reply, and doing it again when the first slot does not fit. An agent shows real availability, books the slot, and reminds the client before the appointment.

The process today

Booking an appointment by message usually means a back-and-forth: a client asks for a time, staff checks the calendar, proposes a slot, the client says that does not work, staff checks again, and several messages later a time gets confirmed, assuming nobody double-books in the meantime because two conversations were happening at once in two different chats.

The second cost is no-shows, which a surprising share of service businesses treat as unavoidable. A client books a slot three weeks out, nothing reminds them until the day itself if at all, and by the appointment date they have forgotten, double-booked themselves elsewhere, or simply lost the urgency that made them book in the first place.

The third cost is the staff time spent on scheduling itself, proposing times, confirming, handling a reschedule request, which is mechanical work that takes a receptionist’s or a manager’s attention away from the client who is actually in front of them right now.

What the agent does

The agent checks your calendar or booking system in real time and offers actual available slots, in the channel the client already used, Telegram, WhatsApp, Instagram or your site’s chat. A client picks a time, the agent books it directly against your calendar, and a confirmation goes out immediately, so there is no gap where a slot looks open to the agent but a human has already filled it in the meantime.

Once booked, the agent runs a reminder sequence timed to actually reduce no-shows: typically a reminder a day or two out and another a few hours before, with an easy way to reschedule or cancel built into the message itself, so a client who genuinely cannot make it reschedules instead of just not showing up, which frees the slot for someone else.

For businesses with multiple staff members or rooms, the agent books against the right specific resource, not just a shared calendar, respecting rules like which staff member handles which service or how much buffer time sits between appointments.

The same logic covers waitlists: if a preferred time is full, the agent offers the next closest slot and, if your process supports it, adds the client to a waitlist for the original time, moving them in automatically if a cancellation opens it up rather than requiring a manager to notice and call around.

What stays with humans

Anything outside your booking rules, a reschedule request past the notice window, a special accommodation, a client with a complex case that needs a longer slot than standard, routes to a person. Setting the availability rules, service durations and reminder timing is done with your team before launch and stays adjustable by them.

Guards

Real-time calendar sync prevents double-booking, rather than a static schedule that goes stale. Reschedule and cancellation rules are enforced consistently, with exceptions routed to a human instead of silently bent. Every booking and reminder sent is logged for review, and reminder frequency is capped per client so a sequence never feels like spam.

FAQ

How much does booking automation cost?

From $600 for one calendar and one channel, live in 4 to 8 days. Multiple staff calendars or rooms, or booking tied to a paid deposit, usually run $1,000 to $2,500.

How long before it is live?

4 to 8 days once we have access to your calendar or booking system's API and your actual availability rules.

Which calendars does it connect to?

Google Calendar, Outlook, Calendly, and most booking platforms with an API. If your scheduling lives in a spreadsheet, we can work from that too, with a bit more setup time.

What about reminders, do they actually reduce no-shows?

A well-timed reminder sequence, usually one a day or two before and one a few hours before, is reported to meaningfully cut no-shows across service businesses; the exact number depends on your service and client base, which is why we treat 20 to 30 percent as a typical range, not a promise.

Can clients reschedule or cancel through the bot?

Yes, within rules you set, for example a minimum notice period. Anything outside those rules routes to a person.
