Lead routing that never misses a manager:
right person, right skill, right moment

A lead that lands in a shared inbox waits for whoever happens to be free, not for the manager who actually handles that product or speaks that language. An agent reads the lead, matches it to the right person by rule, and assigns it in seconds.

The process today

Leads usually land in one shared place, a messenger account, a web form, a CRM inbox, and from there get picked up by whoever notices first, not by the manager who should actually handle that lead. A manager who handles enterprise deals ends up with a small retail inquiry because they happened to be online, while a language-specific lead sits waiting for the one person on the team who speaks that language, because nobody flagged it.

The gap grows with scale. Below a handful of leads a day, informal routing works fine; a sales lead can glance at the inbox and hand things out by memory. Past that, routing by memory means some managers are overloaded while others are idle, deals sit unassigned over a weekend, and nobody can say with confidence which lead went where or why, until a customer complains that nobody followed up.

A second problem is skill mismatch disguised as availability. The manager who is online right now is not necessarily the manager who should own this lead, and a wrong assignment usually means a slower first answer, a worse first answer, or both, because the person now holding the lead has to pass it along once they realize it is not theirs.

What the agent does

The agent reads each incoming lead as it arrives and applies your routing rules: by product line, region, language, deal size, or whatever split actually matches how your team is organized. If more than one manager could take the lead, it checks current load, how many open deals each manager is already carrying, and assigns to balance the work instead of piling onto whoever answered last. If no rule matches cleanly, it falls back to round-robin so nothing stalls waiting for a perfect match.

Assignment happens in the CRM directly, with the manager alerted in Telegram or Slack the moment it lands, so there is no gap between a lead arriving and someone owning it. Every assignment carries the rule that triggered it, visible in the CRM note, so a manager glancing at their queue understands immediately why a given lead is theirs rather than guessing.

If a lead sits unassigned past a time limit you set, because every matching manager is offline or a rule failed to fire, the agent escalates to a team lead instead of letting the lead sit quietly until someone happens to check. The same escalation path catches leads that get accepted but then go untouched for too long.

What stays with humans

Reassignment, overrides and the routing rules themselves stay with your sales lead. The agent applies rules, it does not invent them, and any manager can pull a lead back out of their queue and hand it to someone else with a note, same as they would without the automation. Judgment calls about a specific deal’s priority stay with the team.

Guards

Every routing decision is logged with the rule that fired, so nothing is a black box a manager has to trust blindly. An escalation path catches anything unassigned past your time limit. A dry run against a week of real incoming leads runs before the agent is allowed to assign anything live, and a kill switch reverts to manual routing in one message.

Price and timeline

Option Price What it covers Timeline
Single automation from $500 One CRM, fixed routing rules, manager alerts 3 to 5 days
Department package from $2,500 Routing plus lead qualification, follow-ups and pipeline hygiene alerts 2 to 4 weeks

Running cost is typically under $50 a month in model usage for routing alone, since most of the logic is rule-based rather than model-heavy.

Routing works best paired with lead qualification upstream, so a manager receives a scored lead instead of a raw one, and with sales pipeline hygiene alerts downstream, so an assigned lead that stalls gets flagged too. See chat-to-deal handover notes for what happens once a routed lead turns into a deal. FAQ

How much does lead routing automation cost?

From $500 for a single CRM with a fixed rule set, live in 3 to 5 days. Routing across several channels and CRMs, or routing tied to live manager load, usually runs $1,000 to $2,500.

How long before it is live?

3 to 5 days once we have your routing rules: which manager handles which product, language or region, and what happens when no rule matches.

Which tools does it connect to?

amoCRM, HubSpot, KeyCRM, Pipedrive and most CRMs with an API, plus Telegram or Slack for manager alerts. If your CRM has no usable API, we route through a shared sheet instead.

What if the rule assigns a lead to the wrong manager?

Every assignment is logged with the rule that triggered it, so a manager can see why and reassign in one click. Rules are yours to edit; we do not hide the logic inside a model's judgment.

Is this safe for a sensitive pipeline?

Yes. Routing only reads lead data already in your CRM or messenger and writes an assignment, nothing is sent outside your own tools, and every action is logged for audit.
