Deals that start with context:
not a cold scroll through chat history

A sales-qualified conversation that gets handed off as a bare link to a chat thread forces the next person to re-read everything before they can say a useful word to the customer. An agent writes the handover note the moment a chat turns into a deal: what was discussed, what the customer cares about, what objections already came up.

The process today

When a conversation turns into a real deal, the handoff between whoever first talked to the customer and whoever closes it is usually a link to a chat thread, or worse, a verbal “check the messages, they seem interested.” The receiving rep then has to scroll back through everything, often dozens of messages, to reconstruct what the customer actually wants, what has already been offered, and what objection already came up once.

The second cost is repetition the customer notices. A rep who has not read the full thread asks a question the customer already answered, which reads as inattentive at exactly the moment a deal needs to feel handled, not passed around. Customers who sense they are starting over with a new person are measurably more likely to lose interest before the second conversation even gets going.

The third cost is the time the rep spends reconstructing context instead of selling. Reading a long thread carefully enough to catch the objection buried in message fourteen is real work, and a busy rep juggling several handoffs a day often does it imperfectly, missing the detail that would have mattered.

What the agent does

The moment a conversation is marked sales-qualified, whether by a tag, a stage change, or a rep’s own action, the agent reads the conversation and writes a short handover note: who the customer is, what they are looking for, what has already been discussed, and any objections or concerns that came up, in the format your sales team actually wants to read, not a generic transcript dump.

The note is written directly into the deal record in your CRM, attached to the conversation it came from, so the receiving rep sees the summary first and can always open the original thread if something needs more context. The template is built with your team: some teams want budget and timeline up front, others want objections first, and the agent follows whatever order actually gets read.

Where the agent is not confident about something, a detail that seemed to contradict itself, a question that went unanswered, it flags that in the note rather than guessing or smoothing it over, so the receiving rep knows exactly where to double-check before relying on it. This runs the same way across every channel your team sells in, so a handoff from Instagram reads the same way as one from WhatsApp or the site widget.

What stays with humans

The decision to mark a conversation as sales-qualified stays with the rep who had it, the agent only acts once that call is made. Nothing in the note is treated as final; a receiving rep can and should check the original conversation for anything that matters to how they approach the next step. Any judgment about the deal itself, how to position, what to offer, what to push back on, stays entirely with the sales team.

Guards

Every note the agent writes is logged against the exact conversation it summarized, so a manager can check accuracy at any time by comparing the two. The note template is tested against a batch of real past handoffs before go-live, with corrections folded back in before it touches a live handoff. A kill switch turns the automatic note-writing off in one message, reverting to manual handoffs, if the summaries start missing things that matter.

Price and timeline

Option Price What it covers Timeline
Single automation from $600 One handoff point, note template, CRM write-up 4 to 7 days
Department package from $2,500 Handover notes plus pipeline hygiene alerts and CRM data entry from chats 2 to 4 weeks

Running cost is usually $20 to $60 a month in model usage depending on handoff volume.

This pairs naturally with CRM data entry from chats, which keeps the deal record accurate before the handoff even happens, and with sales pipeline hygiene alerts so a handed-off deal does not then go stale and silent. See the AI agents service page for the full package breakdown. FAQ

How much does handover note automation cost?

From $600 for one handoff point, chat to CRM, with a fixed note template, live in 4 to 7 days. Multiple handoff points across several teams usually run $1,200 to $2,800.

How long before it is live?

4 to 7 days once we have your note template and a sample of real past handoffs to test the summary against.

Which tools does it connect to?

Telegram, WhatsApp, Instagram Direct, LINE and your site's chat widget on the conversation side; amoCRM, HubSpot, KeyCRM or a Google Sheet on the CRM side, writing directly into the deal record.

What if the summary misses something important?

The note always links back to the original conversation, so a receiving rep can check the source in seconds, and the note template is built to flag anything the agent was not confident summarizing rather than guess at it.

Is conversation data safe?

Conversations stay in your messenger accounts and your CRM, the agent only reads what it needs to write the note, and every note it writes is logged against the original chat for audit.
