A CRM built for B2B manufacturers
that tracks an RFQ from first message to shipped order

A manufacturer's RFQs usually arrive in three or four different places, a shared inbox, a Telegram group, a web form, a trade-show stack of business cards, and most never get tracked past the first reply. We build one pipeline that follows an RFQ from intake through quoting to a shipped order, with round-robin routing between reps and an alert when a deal has gone quiet.

Why B2B manufacturers lose money today

A manufacturer’s sales process usually spans more channels than any one person tracks consistently: RFQs by email, a Telegram chat with a long-time buyer, a form on the website, and business cards from the last trade show that someone meant to enter into a spreadsheet. Each channel has its own informal tracking, which means an RFQ quoted two weeks ago by one rep can sit untouched while another rep, unaware a quote already went out, starts the conversation over with the same buyer.

A second, larger cost is the quote that goes quiet. A buyer gets a price, says they will think about it, and the RFQ simply stops existing in anyone’s attention unless the rep happens to remember to follow up. Industry data on B2B sales pipelines consistently shows that a meaningful share of quoted deals are lost not to a competitor’s better price, but to silence, no follow-up at all, after the quote went out.

A third is visibility for anyone above the individual rep. Without a single pipeline, a sales manager cannot see total quoted value, win rate by product line, or which rep’s RFQs are stalling, which means problems get noticed only when revenue is already down for the quarter, not while there is still time to fix the pipeline.

A fourth is the disconnect between the CRM, where a lead exists, and the ERP, where stock and lead-time data actually lives, which means a rep quoting a lead time is often guessing or calling someone in production to check, instead of seeing it in the same screen as the deal.

What we build

One pipeline that pulls RFQs from every channel you actually use, email, Telegram, your website form, manually entered trade-show contacts, into a single CRM record per buyer, with routing rules that match how your team already splits work: by product line, region, account size or round-robin. A stalled RFQ, one with a quote out and no activity for a set number of days, triggers an alert to the rep and, if it keeps stalling, to a manager, so a quiet deal gets a nudge before it is simply lost.

Dashboards show pipeline value, win rate and average cycle time by rep and product line, pulled from the same data your team is already entering, not a separate reporting exercise. Where your ERP exposes stock and lead-time data through an API, we connect it directly into the CRM record, so a rep quoting a lead time sees the real number instead of guessing or calling production.

Typical integrations: HubSpot, Pipedrive or Salesforce as the CRM layer, your existing email and Telegram as intake sources, your website’s RFQ form, and your ERP’s API for live production data where one exists.

What stays with humans

Every quote, every negotiation and every decision about which deals to prioritize stays entirely with your sales team and managers. The system’s job is to make sure nothing gets lost between channels and nobody forgets to follow up, not to make the sales decisions itself. A rep’s judgment about a buyer’s real intent, or a manager’s call on pricing flexibility for a strategic account, is never something the pipeline decides on its own.

FAQ

What does it cost to start?

A CRM and routing build starts at $2,000 and takes 3 to 6 weeks, depending on how many intake sources need connecting and how your sales team is structured. A lighter routing-and-alerts layer on top of a CRM you already use starts at $1,200.

Do we need to switch CRM platforms?

Not usually. We build on HubSpot, Pipedrive, Salesforce or a self-hosted option if you already have a preference, and connect your existing intake sources into it rather than asking your team to learn a new system from scratch.

How does routing decide which rep gets an RFQ?

By rules you set: product line, region, account size or simple round-robin, whichever matches how your team actually splits work today. We build it from how you already route leads, not a generic default.

What triggers a stall alert?

A quoted RFQ with no logged activity for a number of days you choose, usually 5 to 10 depending on your typical sales cycle, sent to the rep and, if it keeps stalling, to a manager.

Can it connect to our ERP for stock and lead-time data?

Yes, where your ERP exposes an API or a reliable export. We have recovered and rebuilt a factory ERP from a lost cloud account before, so we are comfortable connecting to imperfect or legacy systems too.
