Press 1 for nothing:
an AI agent instead of a phone menu

A phone menu asks a caller to guess which button matches their problem, then often routes them wrong anyway. We replace the menu with an agent that asks what the caller needs in plain language, answers it directly where it can, and routes correctly on the first try where it cannot.

The process today

A caller dials in and hears a menu of options that rarely matches their actual problem: billing questions get mixed in with sales, a technical issue has no obvious button, and after two or three menus the caller either guesses or gives up and presses zero for an operator, which defeats the point of the menu.

Behind the menu, a team ends up fielding a steady stream of misrouted calls that have to be transferred again once a person actually hears the request, doubling the handling time for exactly the calls the menu was supposed to sort quickly.

The frustration compounds for returning callers, who often remember which buttons eventually worked last time and press them from memory rather than listening to the menu at all, which means the menu is effectively being worked around by exactly the customers it should be serving best.

What the agent does

The agent answers the line and asks the caller, in plain language, what they need, instead of reading out a list of buttons. It matches the request against a routing map built with your team - which department owns which kind of question, what counts as urgent - and for anything in your FAQ or knowledge base it answers directly on the call.

When a request genuinely needs a person, the agent transfers with a short summary of what the caller already said, so the receiving team does not start from zero. Low-confidence cases, where the agent is not sure which department fits, go to a general queue rather than a guessed transfer that will just bounce again.

Over time, the routing map itself becomes a useful source of truth: since every call and its outcome is logged, patterns in what callers actually ask for can reshape the map, splitting an overloaded department or merging two that rarely needed separate queues in the first place.

A weekly report breaks down call volume by the reason callers actually gave, in their own words grouped into categories, rather than by whatever button a menu happened to offer, which often reveals call reasons a team did not know were common enough to deserve their own routing path at all.

What stays with humans

The routing map itself, which department owns which request, is defined by your team and reviewed as call patterns change. Anything the agent is not confident about goes to a person rather than being force-fitted into a category, and a caller who explicitly asks for a human gets one immediately. Updating the routing map as departments change, and resolving any call that the agent genuinely cannot place, both stay with your team.

Guards

Every call and its routing decision is logged, so a manager can see where calls actually went and correct the map over time. The new flow runs alongside the old menu for a trial period before fully replacing it, and a kill switch reverts to the traditional menu in one message. A manager can review misrouted calls each week during the transition period and adjust the map directly, rather than waiting for a quarterly review to catch a pattern that was obvious from day one.

Price and timeline

| Option | Price | What it covers | Timeline ||—|—|—|—|| Single automation | from $900 | One phone line, routing map, direct answers for common questions, live transfer | 7 to 14 days || Department package | from $2,500 | IVR replacement plus inbound call answering and after-hours triage for your whole line | 2 to 4 weeks | Running cost is usually $30 to $150 a month in model usage depending on call volume, with a budget cap set before launch.

Pair this with inbound call answering, after hours call triage, call summary to telegram to cover the rest of your voice workflow. The full package breakdown is on the AI agents service page and the automation-everything overview; if your team is further along in handing off routine work, see the routine-takeover service. FAQ

How much does it cost to replace an IVR?

From $900 for one phone line with a routing map covering your departments and common call reasons, live in 7 to 14 days.

Do we lose the old menu completely?

No, we usually keep a minimal fallback menu for callers who prefer pressing a number, while the agent handles everyone who just speaks their request.

How does it decide where to route a call?

On a routing map built with your team: department names, the questions each one owns, and a confidence threshold below which the call goes to a general queue instead of a wrong guess.

Can it answer questions instead of just routing?

Yes, for anything in your FAQ or knowledge base it answers directly and only routes what genuinely needs a department; this is usually where most of the time saving comes from.

What telephony systems does this work with?

Twilio, Vonage, most SIP trunks and common call centre platforms; we confirm compatibility with your current provider before quoting the final price.
