Routes reassigned the moment a delay happens,
not when a customer complains

A dispatcher managing twenty drivers is doing constant mental math: who is delayed, who has room for one more stop, which customer needs an ETA update right now. We build an agent that does that math continuously, reassigns and updates automatically, and brings a human dispatcher in only when a real exception needs a judgment call.

The role today

A dispatcher’s job is fundamentally reactive: a driver hits traffic, a customer is not home, a vehicle breaks down, and every one of those events ripples into every other stop on that route and sometimes other routes too. Doing that rebalancing by hand, on a whiteboard or a spreadsheet, while also answering “where is my delivery” calls, means the dispatcher is almost always one step behind the actual state of the fleet.

Customers calling to ask for a status update are themselves a drain, each call pulls the dispatcher’s attention away from the routing problem that is probably why the delivery is late in the first place, and a customer who has to call usually ends up more frustrated than one who got a proactive text.

What the agent takes over

The agent tracks every driver and delivery stop in real time and reassigns routes the moment a delay, breakdown or missed window happens, based on the same constraints your dispatchers already use: vehicle capacity, remaining hours, delivery windows, geography. Customers get a proactive ETA update when something changes, before they have reason to call and ask, which on its own removes a large share of inbound status calls.

Drivers can ask the agent routing or stop questions directly instead of calling dispatch for something routine, and when something genuinely needs a human decision, a damaged load, a customer dispute, a route that no reasonable reassignment fixes, it goes to a human dispatcher with full context attached rather than a bare alert, so the dispatcher can act in the first message instead of reconstructing the situation first.

What stays with humans

Decisions that trade off customer relationships against operational cost, disputes, and anything involving an accident or safety issue stay with human dispatchers and managers. The agent keeps the routine 90% of dispatching moving so dispatchers can spend their attention on the 10% that actually needs a person.

Guards

Every reassignment is logged with the constraint data behind it, so a dispatcher can audit why a route changed, and reassignment rules respect hard limits, vehicle capacity, legal driving hours, that the agent cannot override even under pressure to hit a delivery window. A kill switch reverts to manual dispatch in one message if routing data ever looks wrong.

FAQ

How much does a logistics dispatcher agent cost?

From $3,500 for one fleet and one routing or TMS integration, live in 4 to 7 weeks. Multi-depot operations with complex routing rules usually start around $6,000.

How long until it is live?

4 to 7 weeks: integrating with your routing, GPS tracking and TMS system takes the first stretch, then testing on live routes alongside your current dispatcher before full handover.

Which channels and tools does it work with?

Integrates with common fleet-tracking and TMS platforms for live location data, sends customer updates by SMS or WhatsApp, and gives drivers a chat interface for route questions, usually Telegram or WhatsApp.

What if it reassigns a route incorrectly?

Reassignment rules are built from your actual constraints, vehicle capacity, driver hours, delivery windows, and any reassignment is logged with the reasoning; a dispatcher can override any decision in one message, and the agent flags anything it is not confident about rather than guessing.

What happens to location and customer data, is it secure?

Location and delivery data stays within your existing fleet and TMS systems; the agent reads and writes through your access controls and does not retain a separate copy of customer addresses beyond what is needed to send an update.
