An event app that gets everyone in the door
without a line at registration
An event app's worst failure mode happens in public, at the door, when check-in is slow and a line builds while a QR scanner lags. We build check-in and access control as the first thing that has to work, drawing on invite-only gating logic we already run for a private platform in production.
What it is and who needs it
An events and conferences app handles agenda browsing, ticketing and check-in, with the single highest-stakes moment being the door on event day, where a slow or failed check-in creates a visible, embarrassing line. It is for a conference organizer, association, or company running a recurring event series that wants control over the attendee experience and the data, instead of a generic event-platform template.
The build priority follows the real risk: check-in has to work reliably under real venue conditions, including bad Wi-Fi, before any other feature matters.
What is inside
Agenda and session browsing let attendees build a personal schedule, and ticketing supports tiers, general, VIP, speaker, with QR-based check-in built to be offline-tolerant: a scan validates against a locally cached list first and syncs once a connection is available, so a venue’s unreliable Wi-Fi does not create a line. Push notifications handle schedule changes and session reminders, the kind of update that actually matters to someone at a conference.
Where the event wants it, attendee networking adds profiles and messaging, and access control gates specific sessions or areas, a pattern adapted from invite-only platform access control we already run in production with zero exposed ports. The admin dashboard tracks check-in rates, session attendance and ticket sales in real time during the event, not reconstructed afterward from scattered logs.
We also build in the operational detail that matters once attendees are actually at the venue: a staff view for the check-in desk showing real-time arrival counts against expected attendance, a lost-ticket recovery flow so a forgotten QR code does not turn into a line-side argument, and sponsor or exhibitor visibility built into the agenda rather than treated as an afterthought bolted on near launch. For multi-day events, the agenda supports day-specific tickets and access levels so a single-day pass holder is not shown sessions they are not entitled to attend.
How we build it
- Build check-in to survive bad venue conditions. Offline-tolerant validation is the single highest-priority feature, tested under realistic network conditions.
- Structure ticketing tiers and gating clearly. General, VIP, speaker, and any gated sessions, defined before the UI is built.
- Add networking only if the event wants it. Not every conference needs attendee messaging; we scope this honestly.
- Build the admin dashboard for event-day visibility. Check-in and attendance data live, not after the fact.
- Test check-in under load before the actual event. A door-side failure on event day is the one mistake this category cannot afford.
Timeline and price
| Tier | Price | What’s included | Timeline |
|---|---|---|---|
| MVP | from $6,000 | Agenda, ticketing, offline-tolerant QR check-in | 6 to 10 weeks |
| Production | from $11,000 | MVP plus attendee networking, gated sessions, event-day admin dashboard | 10 to 14 weeks |
| Full control, handover-ready | from $18,700 | Everything in Production plus full handover documentation for your own team | 10 to 14 weeks |
What you own at the end
Attendee, ticket and session data in your own database under your own infrastructure, and the app under your own developer accounts, not locked into a ticketing platform’s ecosystem for future events. The same app and its data structure carry over to your next event without a new contract or a new export process to figure out each time, and your own team can clone the previous event’s setup as a starting point rather than rebuilding the agenda and ticket tiers from a blank slate.

FAQ
How much does an event or conference app cost?
From $6,000 for agenda browsing, ticketing and QR check-in. Attendee networking, gated sessions and multi-day, multi-track agendas typically add $3,000 to $6,000.
How long does it take?
6 to 10 weeks once your event structure (sessions, tiers, whether sessions are gated) is defined. Attendee networking features can add 1 to 2 weeks.
What happens if the venue's Wi-Fi is bad on event day?
Check-in is built to be offline-tolerant: a scanned ticket validates against a locally cached list first and syncs once a connection is available, so a bad venue network does not create a line at the door. This is tested specifically before any event, not assumed to work.
Who owns the attendee and ticketing data?
You. Attendee, ticket and session data live in your own database under your own infrastructure, and the app ships under your own accounts, not locked into a ticketing platform's ecosystem.
Can this handle gated sessions or an invite-only area within a larger event?
Yes, this is a pattern we have built in production for an invite-only platform with zero exposed ports and strict access control, and it adapts directly to gating specific sessions or areas within an event.
