Shopify orders on autopilot:
tagged, routed, flagged before they go wrong

A Shopify store running on default order views makes staff scroll past every order to find the handful that need attention: a fraud risk, a wholesale order mixed in with retail, a shipping address that does not match the billing country. We build tagging rules that surface what matters and route the rest through the right fulfilment path automatically.

The process today

A growing Shopify store processes orders through the same default view regardless of type, so a wholesale order, a high-risk payment, and a completely normal retail order all look the same in the list until someone opens each one. Staff either check every order manually, which does not scale, or they skim and occasionally miss the one that needed a second look.

The second cost is routing: different order types often need different fulfilment paths, a dropship item versus a warehouse item, a wholesale order versus retail, and without tagging, that routing decision happens inconsistently depending on who processes the order.

The third is fraud and mismatch risk surfacing only after the fact: an order shipped to an address that did not match billing, discovered during a chargeback dispute weeks later, when catching it before fulfilment would have cost nothing.

What the agent does

The agent tags every incoming order by the rules your team actually uses to make fulfilment decisions: order type, fulfilment path, risk signals, with the reasoning attached to the order note so staff see why a tag was applied, not just the tag itself. Standard orders route straight to the correct fulfilment process without anyone touching them.

Orders with a risk signal, an address mismatch, an unusual payment pattern, a value well outside your normal range, get flagged for a person before fulfilment, with a daily summary so nothing sits unreviewed. This builds on your existing Shopify Flow setup or app stack where it already covers part of the logic, extending it where Flow alone cannot combine the signals you need.

Typical setup: Shopify’s Admin API and Flow, your fulfilment and warehouse rules, and a notification channel for flagged orders.

Rollout follows the same sequence across every automation we build: map the real process together with the people doing the work today, including the exceptions and the real volume, not just the clean-path version; build and test against a sample of your real data rather than a demo dataset; run a dry run against live activity before anything is allowed to act on its own; then hand over the logs, the kill switch and a short written guide so your team can run it without us in the room. The 30-day tuning window that follows launch is treated as real work, not a formality: thresholds, wording and edge cases get adjusted against what the first weeks of real usage actually show, not against what looked right before launch.

What stays with humans

Deciding what to do with a flagged order, cancelling or refunding, and setting the actual risk and routing rules stay with your team. The agent tags and routes against rules you define; it does not cancel or hold an order on its own judgment, and anything genuinely ambiguous reaches a person before fulfilment rather than after.

Guards

Every tag and routing decision is logged with the rule that triggered it, so staff can audit any order’s path after the fact. Fraud-risk and high-value flags always require a human review before fulfilment, never an automatic hold or cancellation. The rules run against a batch of recent real orders before going live, and a kill switch reverts to default Shopify behaviour in one message.

FAQ

How much does Shopify order automation cost?

From $700 for tagging and routing rules on one store, live in 4 to 8 days. A full catalogue and order rebuild, the kind we did auditing and fixing a live Shopify store down to zero miscategorised products, sits in our e-commerce package.

Does this replace Shopify Flow?

It usually builds on Shopify Flow or sits alongside it where the logic needs data Flow cannot reach on its own, like checking an address against a risk pattern or combining several signals into one tag.

What counts as a risk flag?

Signals you choose: billing and shipping country mismatch, an order value well outside your normal range, a payment method with a known higher dispute rate. None of it blocks the order automatically, it just makes sure a person sees it before fulfilment.

Can it route wholesale orders differently from retail?

Yes, orders are tagged by type based on rules you set, quantity thresholds, a specific customer tag, a discount code, and routed to whichever fulfilment process that order type actually needs.

Will this slow down order processing?

No, tagging and routing happen automatically within about a minute of order creation; the only thing added to a human's plate is reviewing the smaller set of orders actually flagged.
