A bank reconciliation agent:
the ledger matches the bank, every day, not just at month-end

Reconciliation is mostly matching obvious lines against a small handful of real discrepancies, and most of the time spent on it goes to confirming the obvious part. We build an agent that pulls your bank or card feed, matches lines to your ledger daily rather than only at month-end, and leaves a short, real exception list for the person who actually needs to think about it.

The role today

The great majority of bank and card feed lines match an entry in the ledger exactly, same amount, same date, obvious counterparty, and a bookkeeper’s real judgment is needed on a small minority: a timing difference, a bank fee, an FX conversion a few cents off. The problem is that the boring majority still has to be checked line by line before anyone can be confident which lines are the real exceptions, and when that only happens at month-end, a genuine error can sit undetected for weeks.

The risk of only reconciling at month-end is asymmetric: a genuine fraud or a duplicate payment sitting unnoticed for three weeks is much harder to unwind and far more likely to have already triggered downstream consequences, a late payment to a vendor, an overdraft fee, than the same issue caught the next morning.

What the agent takes over

The agent pulls your bank or card feed on a schedule, daily or weekly rather than only at month-end, and matches each line against your ledger automatically: same amount and date clears outright, and known patterns like recurring transfers, standard fees and typical FX differences match against a rule set your team defines. What remains after automatic matching is a short, real exception list, ranked by amount and age, instead of the full line-by-line read a bookkeeper used to have to do. Each run produces a summary of how many lines matched automatically and how that compares to the prior period, so a controller can see at a glance whether something has changed, a new bank, a new payment method, a vendor whose invoicing pattern shifted, that needs a rule update.

Matching rules are built from your team’s actual recurring transaction patterns, a specific subscription that always posts on the third of the month, a known processing fee that is always a fixed percentage, so the rule set reflects your real cash movement rather than a generic template that would flag your normal recurring charges as unusual every single time. For a business with multiple accounts or currencies, the agent reconciles each one against its own ledger and then rolls up a combined view, rather than conflating accounts that should be tracked separately for different reasons. When a new kind of transaction appears for the first time, a new payment processor, a new recurring vendor, it is treated as an exception until a human confirms the pattern, after which it becomes a standing rule the agent applies automatically going forward.

What stays with humans

The exception list is reviewed by a bookkeeper, and any correcting entry, a reclassification, a write-off, a dispute with the bank, is posted by a person, never automatically. The matching rules themselves are set and adjusted by your team as the business changes.

A reclassification, a write-off, or any entry that changes what a transaction is recorded as in the books is posted by a bookkeeper, never by the agent, even when the correct treatment seems obvious from the data alone.

Guards

Every matched and unmatched line is logged, so a full reconciliation trail exists even for lines that matched automatically, not just the exceptions. No correcting entry posts without a human signing off, and large or unusual exceptions are flagged with extra prominence. A kill switch reverts to manual reconciliation in one message.

The reconciliation log retains every version of a match decision, so if a rule is later found to have matched something incorrectly, every affected historical entry can be identified and corrected rather than only the most recent one.

FAQ

How much does a bank reconciliation agent cost?

From $1,800 for one bank account and one ledger with daily matching, live in 2 to 3 weeks. More accounts or currencies add time, quoted after a short review.

How long does setup take?

2 to 3 weeks: time to read your actual bank feed and ledger format and build the matching rules, then a few cycles under human review before automatic matching runs unattended.

Which channels and tools does it connect to?

Your accounting system's ledger (QuickBooks, Xero, a custom ERP) plus your bank or card provider's feed or statement export.

What happens with a genuine discrepancy?

Anything that does not match cleanly, an unexpected fee, a timing difference, a real error, goes to the exception list for a bookkeeper; the agent never posts a correcting entry on its own.

What about data and security?

Bank data is read through the connections you authorize and used only for matching; statements are not stored beyond what reconciliation requires, and every line is logged for the audit trail.
